Configuring Activity Types and Subjects

After completing this lesson you should be able to:

- Add a new activity type

LeisurePoint activities (call, appointment, letter, email and task) are ready to use 'out of the box', but can also be configured for specific sales, service or retention contact business processes you implement. For example, rather than having a broad category for calls, you could configure 'retention calls', finance calls' etc with specific result lists for each area. The activities and results can then be filtered for more accurate reporting.

Activities have the following attributes that you can modify to meet your requirements:

Activity Types - The Activity name grouped into either Call, Appointment, Letter, Email or Task. This will allow you to monitor and report on performance in each Activity Type or in total, e.g. 'How many calls were made last week?' or 'How many credit control calls were made last week?'.

Activity Lists - The associated Subject and Result lookup lists for each Activity Type. For example, an Activity Type called 'Credit Control Call' could have 'First call' in the Subject List' and 'Contacted - agreed to pay' in the result list.

To add an activity type

Click the Layout (1) button on the Navigation Bar at the bottom of the screen.

Click on the Activity Types (2) Sidebar tab.  This will bring up the grid list view showing the existing Activity Types and their attributes.

From the File menu, select Activity Types and then Add Activity Type. This will bring up the Add Activity Type dialog box.

Enter the required information into the available fields:

ID - This is an internal number automatically generated by the system.

Type Name - Enter a descriptive name for the Activity Type e.g. 'Service'. This will be displayed in the selection drop-down when scheduling an activity in the Webclient.

Group - The Activity Type needs to be associated under one of the standard ClubCentric items of Call, Appointment, Letter, Email or Task

Active - The default for a new Activity Type is Yes.

When you have completed the field editing, click OK to confirm. This will close the dialog and return you to the grid list view.

To Edit an Activity List Subject

Click the Layout (1) button on the Navigation Bar at the bottom of the screen.

Click on the Activity Lists (2) Sidebar tab.  This will bring up the grid list view showing the activity lists.

Highlight the activity list you wish to amend.

From the File menu, select Activity-Lists and then Edit Activity List. This will bring up the Lookup Tables Administration dialog box.

The Actions toolbar contains a number of items that can be used to edit lookup items:

Include Item - Adds a new Activity List Item to the item list.

Edit Item - Click this icon to edit the selected item.

Remove Item - This will remove the selected item from the list, and will also remove the item from any records where it was already selected. Note: This could affect your data integrity and reporting.

Enable/Disable - This will set Active status of the item to False. The item will remain on the list but will not be available for future selections in the WebClient. However previous selections will not be affected. Tip: It is recommended you disable an item rather than remove it from the list.

Move Up - Certain items in the list are selected more frequently and so should be near the top of the list. Select the item and click the Move Up icon until it is in the desired position.

Move Down - Certain items in the list are selected less frequently and so should be near the bottom of the list. Select the item and click the Move Down icon until it is in the desired position.

Continue editing the Activity List items as desired and click OK to confirm. This will close the dialog and return you to the list view grid.
