Configuring Cancellation Reasons

On the Reasons tab you can view the current reasons that can be selected when changing package status.

To add a status change reason:

Click the Add Reason icon on the Actions toolbar. This will bring up the Add Reason dialog box.

To edit a status change reason:

Click the reason to be edited. Click the Edit Reason icon on the Actions toolbar. This will bring up the Edit Reason dialog box

In the Cancellation Reason dialogue box you can edit the following information:

Reason Code - Enter a code for the reason

Reason Description - Enter a brief description for the reason

Reason Analysis Code - Enter an Analysis code for reporting purposes

Notice Period - Allows you to specify how much notice a member needs to give you when they cancel using this reason

Min Membership - Allows you to use this reason to cancel a member before their minimum membership has been served

Applies to:

  • Once "Selected Packages only" is selected the Packages tab on the left is enabled. From there you can select which packages a member must be on in order to use this reason. e.g the Reason "Graduated" can only be used on student packages.
  • Once "Selected Sites Only" is selected the Sites tab on the left is enabled.  From there you can restrict which site a member must be a member of in order to use this cancellation reason.

Required Documents - Once Selected Documents is selected, the Required Documents tab on the left is enabled. From here you can specify which documentation is required to be attached to the cancellation when using this reason.

Required user Role - Allows you to restrict the use of this reason by user role.
